5 Habits That Will Keep Your Inbox at Zero

The average knowledge worker spends 28% of their working day on email. Most of that time isn't reading and writing — it's re-reading things you've already read, hunting for something you half-remember, and feeling vaguely anxious about the pile.

Inbox zero fixes this. Not as a daily obsession, but as a system.

1. Process, don't check

Most people "check" email — they skim, half-read, close the tab, and repeat. This multiplies the time spent on each email.

Instead, process in dedicated blocks:

  • Check email twice a day (morning and afternoon work for most people)
  • When you open an email, decide immediately: reply, archive, delete, or defer
  • Don't close an email without acting on it

2. Use labels instead of folders

Folders create decisions: "Which folder does this go in?" Labels let you tag something and archive it — searchable later from any label or by keyword.

In Kerabie Mail, create 5–10 labels that match your categories:

  • Action needed — emails requiring a reply or task
  • Waiting — you replied, waiting for their response
  • Reference — info you might need later
  • Read later — articles, newsletters

Apply the label, then archive. Your inbox stays clean; the email is findable.

3. Unsubscribe ruthlessly

Every newsletter you don't read is one more thing your brain has to ignore. The "I might read it someday" pile never gets read.

Spend 30 minutes going through the last month of email and unsubscribing from everything you haven't opened. Use the filter has:unsubscribe (or search "unsubscribe" in Kerabie Mail) to find them fast.

4. Write shorter emails

Long emails get long replies. Short emails get short replies — or no reply needed at all.

The standard: if it takes more than 5 sentences, it's a meeting. If it requires back-and-forth clarification, it's a phone call. Email is best for information, decisions, and short updates.

5. Schedule with intent using Send Later

Don't send emails at 11pm expecting a response. Don't fire off a half-baked message because you thought of it at midnight.

In Kerabie Mail, use Send Later to:

  • Write the email when you think of it, deliver it at 9am
  • Batch your outgoing emails for the end of your workday
  • Give yourself a "cooling off" period before sending something you wrote when frustrated

The goal isn't an empty inbox for its own sake — it's a system where every email is processed and nothing falls through the cracks. These five habits get you there.
