How to Add Your Work Email to Your Phone

Whether your work email is on Google Workspace, Microsoft 365, or a custom server, here's how to get it on your iPhone or Android in 2026.


First: What type of work email do you have?

Type How to tell
Google Workspace (Gmail) You log in at mail.google.com and your IT team manages it
Microsoft 365 / Exchange You use Outlook and your IT team manages the domain
cPanel / hosting Your email is set up through your website hosting control panel
Custom IMAP Any other email server — ask your IT team for IMAP/SMTP settings

Option 1 — Google Workspace (Gmail)

iPhone:

  1. Settings → Mail → Accounts → Add Account → Google.
  2. Sign in with your work Google account. Done.

Android:

  1. Gmail app → Profile icon → Add another account → Google.
  2. Sign in. Done.

Google Workspace auto-configures — no server details needed.


Option 2 — Microsoft 365 / Exchange

iPhone:

  1. Settings → Mail → Accounts → Add Account → Microsoft Exchange.
  2. Enter your work email address and sign in via Microsoft's login page.
  3. Allow the profile to install if prompted by your IT team.

Android:

  1. Email app or Outlook app → Add account → Office 365 or Exchange.
  2. Enter your work email and sign in.

Option 3 — Custom IMAP (cPanel, hosting, or private server)

You'll need the server settings from your IT team or hosting control panel.

Standard IMAP settings:

iPhone setup:

  1. Settings → Mail → Accounts → Add Account → Other → Add Mail Account.
  2. Enter name, email, password.
  3. Select IMAP.
  4. Enter incoming and outgoing server details.
  5. Save.

Android setup:

  1. Email app → Add account → Other or IMAP.
  2. Enter email and password.
  3. Enter IMAP server: port 993, SSL.
  4. Enter SMTP server: port 587, STARTTLS.
  5. Save.

Option 4 — Kerabie Mail (autodiscovery)

If your work email is on Kerabie Mail:

Troubleshooting

"Cannot verify server identity" — Your email server may have an SSL certificate mismatch. Try the server hostname from your hosting control panel instead of mail.yourdomain.com.

Emails not syncing — Check that IMAP is enabled for your account in your hosting control panel or email admin settings.

"Authentication failed" — Make sure you're using the email account password (not your hosting/cPanel login password — these are often different).

Slow sync on Android — Set the sync frequency to "Every 15 minutes" in the account settings if real-time push isn't working.
